Workflow Implementation

Hi All:

I am new to Alfresco and would like to implement the following:

1. Users will upload documents into various spaces.
2. Others should not see the uploaded document (even read access also) unless it is approved by manager
3. Once it is approved, it should be published for all.

Please help me in implementing the tasks!

I'm not sure but with alfresco, you cannot restrict a document to people just with meta-data, you've got to move your document to a folder with specific rigths (READ for example) when it has been accepted.

Yes you just have to delete the rigth "READ" for the group EVERYONE and nobody will see documents into the folder. Then you can invite on this folder groups or users with the rights you want…

Hi,

I have a space in which all the users have Consumer role. I have a content rule applied to the space with a workflow. I follwed the process as it is in the Alfresco book.

I login in as usr and upload document in a folder called Draft and assign permissions to other users on that content. After this I try to submit this document for Review [ if it wrkd the document wud move to Pending space] , the system throws an error as below.

Failed to approve the document due to system error: Access Denied. You do not have the appropriate permissions to perform this operation.

Please assist me with this

Hi All:

I found a weird problem in Alfresco 1.4. If you create a user with username as number, ex: username = 123, My Tasks To Do & My Completed Tasks are empty when we start Advanced Workflow.

This work fine if the user name contains only alphabets. Has anyone had this kind of problem before? Is there any restriction available on having username as numbers?

I have also tried number+alphabet combination it doesn't seem to be working, please help!

There was an issue in 1.4 community where usernames were encoded incorrectly in the task dashlets. This is fixed in 1.4 enterprise and 2.0 community.

- patch your version of 1.4 (I can give details if you're willing to go this route)

We can not restrict user names. Basically user names are numbers in our organization.

You can also move to 2.0. This will be released any time now.

To fix you need to remove ISO9075.encode from:

getTasksCompleted()
getTasksTodo()

in WorkflowBean.java.

Hi,

Would there be a way to move a content from a space to another , by using the advanced worklow, based on the actions available?

eg: in the advanced workflow, a content could be assigned to a reviewer [ Review and Approve or the Adhoc ] After this the content appears in the reviewers my task list. here the review "Manages Task" and sets the status to Completed and clicks on Approve and finishes the task.

At this point , can the approved content automatically be moved to anther space? Could a mail also be triggered at the same time?

Within an advanced workflow definition, you can hook Alfresco javascript (or java) to events within the workflow. Common events include "on transition", "on node enter", "on node leave" etc.

As a part of this we need to send mail alerts to the initiator when the content is approved in the "Review & Approve" cycle of the advanced workflow.

I tried changing subject & body of Adhoc email configuration, it doesn't take any changes. Please help !

I have changed the following line just to see the change, but it doesn't seem to be working. Is there any other place I need to change?

Hari,

Can you first check that the ad-hoc workflow sends an e-mail (tick the notify me box).

If that works, can you check you have re-deployed your modified process definition. I don't know how you're deploying, but I suspect you need to change the <prop key="redeploy">false</prop> to <prop key="redeploy">true</prop> for the adhoc workflow definition in the bean "workflowBootstrap" in bootstrap-context.xml.

I am trying out Alfresco 2.0 and having some issues with the new workflow.

Version 2.0 comes with a new option in the advanced workflw called "Web Site Submission"(Submit changes for approval). When I am opting for this and sumbmitting the wrkflw, I am getting a strange error as below.

We are implementing custom wrkflw in 1.4 for our org and it seems that 2.0 already has it [like the above option]

Please assist us in this so as we could try and implement 2.0 wrkflw.
